CXP allows you to easily visualize how your Survey is distributed via email. This gives you full transparency into your current configuration, including whether invitations are sent manually or automatically and whether reminders are enabled.
At the moment, all email distribution settings are read-only. You can review the configuration, but you cannot modify the settings directly from these views.
You can access and visualize the email distribution settings in three different places within CXP.
Where to visualize email distribution settings
You can view your Survey email distribution configuration in the following locations:
1. Survey Overview
In the Survey overview, you will see:
A column displaying the available public channels.
A column for the email channel, where the current distribution settings are shown.
This view allows you to quickly compare distribution methods across multiple Surveys.
2. Entity Distribution Drawer
You can also access distribution settings from the Entity distribution drawer.
By clicking on a specific Entity distribution button, the email distribution configuration will appear. This is useful when reviewing how a particular Entity is configured within a broader Survey setup.
3. Survey Editor (Organization Admins Only)
Organization admins can also visualize the configuration directly in the Survey editor.
To access it:
Go to the Survey overview.
Click Edit on the specific Survey.
Scroll below the public distribution settings.
Locate the email distribution section.
Here, you can review how your Survey invitations are configured.
Note: All settings displayed in this section are currently read-only.
Email distribution configuration details
Within the email distribution section, you will see the following settings:
Manual Distribution
This option indicates whether guest data can be manually uploaded to send the Survey. When enabled, guest contact data can be uploaded manually to trigger Survey invitations. Learn How to upload guest data
Automatic Distribution
For post-stay Surveys, automatic distribution sends invitations when guest data is received through a PMS or SFTP integration. When enabled, the Survey is automatically sent based on guest stay data provided by your integration.
If Automatic distribution is enabled, the following configurations are displayed:
- Send Survey After Departure: This setting specifies how many hours after the guest’s departure date the Survey invitation is sent. This timing ensures that guests receive the Survey while their experience is still fresh.
- Email Reminders: This option indicates whether reminder emails are sent to guests who have not completed the Survey. When enabled, guests who do not respond to the initial invitation receive a follow-up reminder.
- Reminder Timing: This setting defines how many days after the initial invitation the reminder email is sent. Adjusting reminder timing helps optimize engagement and supports a higher Response Rate.
