The Distribution tab within the Entities section allows users to monitor the status of guest email and Survey API distribution. This includes tracking individual guest records and understanding the state of email and Survey distribution for visits received within the last 60 days.
Users can also access a Visit Volume view to track the real-time flow of visit records into the system—providing additional transparency into how data is ingested from integrations such as PMS, SFTP, or manual uploads.

Visit Status
To check the status of guest emails:
Navigate to the Entities section in CXP.
Select the specific Entity you want to review.
Click on the Distribution tab.
By default, the tab shows a list of guest visits from the last 60 days and includes the following columns:
Guest Email
Arrival Date
Departure Date
Status
You can use the search bar to look up specific guest email addresses.
You can also export the whole table in an excel format.
Status Explanations
Each guest record will display one of the following statuses:
Ready to Send: The email is queued and will be sent shortly.
Not Processed: The visit has been received but not yet processed, or the check-out date is older than 30 days.
Email Sent: The email has been successfully sent.
Reminder Sent: A follow-up reminder email has been sent after five days or according to your custom settings.
Bounced: The email failed to deliver due to reasons such as an invalid address, full inbox, unavailable server, or being blocked by spam filters.
Email Opened: The guest has opened the email.
Survey Opened: The guest has opened the Survey.
Survey Submitted: The guest has completed and submitted the Survey.
Sending Failed: An error occurred while sending the email. This may be due to technical issues or misconfigurations in your setup.
Reminder Failed: An error occurred while sending the reminder email. This may be due to technical issues or misconfigurations.
Unsubscribed: The guest or their email domain has opted out of communications.
Guest Suspended: The guest already received an email in the last 30 days or during a custom suspension period.
Link created: A link has been generated based on an API call from the Survey API integration.
This view equips users with the transparency and control needed to manage email and Survey distributions effectively.
Visit volume
By selecting the Visit volume view, users can:
See a day-by-day breakdown of visit records received through PMS integrations, SFTP, or manual uploads.
Monitor the health of the visit data pipeline and confirm that data is flowing into CXP correctly.
Visit Volume Table
This table displays visit data from the past 60 days (up to and including yesterday) with the following columns:
Date: Record creation date
Loaded Visits: Preliminary count of visits received
Unique Visits: Visit count after removing duplicate records
Expanded Row Details
By expanding any row, users can view real-time processing status of the visit records for that specific date. The status breakdown helps identify issues quickly and ensures all visit data is accounted for. The total of all statuses shown must equal the Unique Visits number.
This update provides a comprehensive view of both email distribution and visit data volume, enabling users to proactively monitor data flow and ensure communication and feedback processes are functioning seamlessly.
