Customizing your ResponseAI settings is optional but ensures your review responses are professional, consistent, and aligned with your preferred communication style. Whether you want to add a personalized touch or streamline handling recurring topics, these settings make responding to reviews faster, easier, and more tailored to your needs.

ResponseAI settings overview

You can manage your ResponseAI settings under the Inbox section in your user profile. The following options are available:

Signature

• Add a personalized sign-off to your responses.
• The signature is automatically appended to each generated response and translated to match the response’s language.

Tone of voice

Select the tone that best fits your communication style:

• Formal: Creates responses that are polished and professional.
• Casual: Produces responses that are friendly and approachable.

Response length

Determine the length of the AI-generated responses:

• Auto: Adjusts response length based on the review content.
• Brief: Generates concise responses, regardless of review length.
• Detailed: Provides longer, more comprehensive responses when sufficient context is available.

Translation language

• Auto: Automatically uses the default language from the General tab in your user profile.
• Specific language: Allows you to manually select a preferred language for translations.

AI Guides

AI Guides help train ResponseAI to effectively address specific phrases, complaints, or feedback scenarios. This feature ensures your responses align with your preferred tone and are consistent across recurring topics.

How to use AI Guides

1. Clarity in descriptions: Clearly indicate whether the description you add is positive or negative to help ResponseAI generate the appropriate tone. For example: "no vegan breakfast options"
2. Translation-ready: You only need to create each guide once—ResponseAI will handle translations automatically when generating responses.
3. Limit of 10 guides: Each user can create up to 10 AI Guides, so prioritize the most common or impactful feedback scenarios.
